Terms of Service — DOJO CORE

These terms govern the use of DOJO CORE (the "Service"), provided by KABUSHIKI GAISYA LETS BJJ ("we", "us"), a company registered in Japan, corporate number 3011101104512, at Nishi-Shinjuku Mizuma Bldg 2F, 3-13 Nishi-Shinjuku 3-chome, Shinjuku-ku, Tokyo 160-0023, Japan. By subscribing you ("the Academy") agree to them.

1. What the Service is

DOJO CORE is a hosted membership system for martial arts academies. It covers member records, attendance check-in, digital membership cards for Apple Wallet and Google Wallet, a member-facing web page, class timetables and academy notices. Each Academy is provisioned with its own database and its own deployment; data is not shared between Academies.

The Service is configured to order. The exact scope of an Academy's configuration is what we agree in writing before setup begins.

2. Fees

Setup fee — from $500 USD, charged once before configuration begins.
Monthly fee — $100–$200 USD per month, set by member count and confirmed in writing before the first charge. Charged in advance on the same day each month.
Change requests — $50–$100 USD per request, quoted and accepted in writing before work starts.

All amounts are in US dollars unless we have agreed Japanese yen invoicing. Amounts are exclusive of any tax that applies in the Academy's country. We charge no per-member fee and take no percentage of the Academy's tuition. Fees may change with 30 days' written notice; a change never applies to a period already paid for.

3. Term and cancellation

The subscription runs month to month and renews automatically until cancelled. Either side may cancel at any time by written notice; the cancellation takes effect at the end of the period already paid for. Refunds are covered by our Refund & Cancellation policy.

We may suspend the Service if a payment is more than 14 days overdue, or immediately if the Service is being used unlawfully. We will contact the Academy before suspending for non-payment.

4. The Academy's data

Member records entered into the Service belong to the Academy. We process them on the Academy's instruction in order to run the Service, as described in the Privacy Policy. We do not sell them, use them to train models, or share them with other Academies.

On cancellation we export the Academy's data in a machine-readable format on request and delete it from production within 30 days of the final export, and from backups within 90 days.

5. The Academy's responsibilities

Tell members that their information is held in the Service, and obtain any consent local law requires.
Keep administrator credentials confidential and tell us promptly if they are exposed.
Use the Service lawfully, and not to store information it was not designed for (payment card numbers, health records).

6. Availability and support

The Service runs on Cloudflare's network. We do not offer a contractual uptime guarantee; we do commit to respond to a reported outage within one business day and to fix faults in the Service at no charge. Support is by email, in English or Japanese.

7. Liability

The Service is provided as described in these terms and in the documentation we give the Academy. To the extent permitted by law, our total liability arising out of the Service in any 12-month period is limited to the fees the Academy paid us in that period. Nothing here limits liability that cannot be limited by law, including liability for our wilful misconduct.

8. Changes to these terms

We may update these terms. Material changes are notified by email at least 30 days before they take effect. Continuing to use the Service after that date means the Academy accepts the updated terms.

9. Governing law

These terms are governed by the laws of Japan. The Tokyo District Court has exclusive jurisdiction as the court of first instance.
